Configuring Roles

Roles

In Emergent, Admins can configure roles to manage user permissions across both the Portal and the App. These roles determine the permissions and access levels for users assigned to them, ensuring a secure and tailored user experience.


Typically, during initial setup, Emergent will provide an initial set of roles.

IMPORTANT:  While Emergent is designed to be flexible, allowing the Admins to configure the roles to meet their needs, as a best practice, Edit and Delete permissions within the Admin functionality should be limited to the Admin role.

Emergent provides an "at-a-glance" view of the permissions established for each role.  By selecting a role on the left side, the basic permissions of that role is easily viewed on the right side.  Certain functions have the ability to expand and assign permissions at a more detailed level by clicking the down arrow to the right of the permissions.

For example, when expanding the Occupancy function, you see permissions can be assigned for General, Contact, Preplans and Attachments separately.  Preplans can then be expanded and controlled even further.


When assigning permissions, access can be granted at 4 levels that build upon each other:

The orange icon represents the permission level assigned to that function.

  1. No Access - The user will not be able to access that functionality
  2. Read Only - The user will be able to see the functionality/data but will not be able to edit or delete anything
  3. Edit - The user will be able to see the functionality/data as well as create end edit records
  4. Delete - The user will be able to see the functionality/data, create and edit records, and where appropriate delete data.

For functions that allow for drill down permission management, all sub-functions have the same access level it will display with an orange icon (the same as a single permission).  However, if the sub-functions have different access levels, then the highest access-level will be highlighted on the "parent" function with an orange underline.  

NOTE:  When creating or modifying a role, assign a clear and meaningful name ensure it's easy to identify and assign the correct role to users.


NOTE:  When modifying a role that is already assigned to users, the users will need to log out and login again to see the changes.  Users may need to clear their cache.
